Administrative Specialist
Based in Basel, Switzerland, this Administrative Specialist role provides high-level operational support to the Global Quality Leadership Team. You will act as a proactive coordinator, ensuring seamless daily operations and professional execution of activities across a fast-paced, global environment.

What you will do:
Proactively manage complex, fast-changing schedules for leadership, including meeting logistics and attendee coordination.
Arrange comprehensive domestic and international travel itineraries, including flights, visas, and accommodations.
Process expense reports and manage Purchase Requisitions via SAP Ariba to ensure budget visibility.
Maintain SharePoint sites and Intranet pages, ensuring document integrity and information accessibility.
Provide end-to-end support for on-site, off-site, and virtual leadership workshops and team meetings.
Lead the integration process for new hires, coordinating system access, equipment, and orientation materials.
Build collaborative relationships across functions and act as a key contact within the "One Lonza" Admin Community.
What we are looking for:
Proven background supporting senior leadership in an administrative or Personal Assistant capacity within an international setting.
Strong command of Microsoft Office (Outlook, Excel, PowerPoint), SharePoint, and SAP Ariba.
Fluent in English with excellent written and verbal skills to interact with global stakeholders.
Ability to prioritize a heavy workload independently while maintaining high accuracy under tight deadlines.
A proven track record of handling highly confidential and sensitive information with absolute integrity.
Strong collaboration skills with the ability to navigate various organizational levels and functions.
A degree or apprenticeship in Business Administration, Project Management, or Event Management.
