Role Summary
We are seeking a proactive and adaptable Administrative Assistant to provide high-quality support to the Finance Leadership Team (FLT). This role ensures smooth day-to-day operations across global stakeholders by delivering efficient administrative and coordination support. You will work across diverse priorities, supporting leadership activities, global coordination, and operational tasks, while contributing to a collaborative and well-organized team environment. This is a junior, flexible role with exposure to global teams and evolving responsibilities.

Office-First Role
This is an office-first role. Working together in person supports close, real-time collaboration and team alignment, enabling us to deliver our best work. You will work primarily in the office, with the flexibility to work remotely for 20% of your time (one day per week).

What You Will Do
- Provide administrative support to Finance Leadership Team members, including calendar management, meeting coordination, travel arrangements, and expense handling
- Coordinate across global stakeholders in different time zones (Europe, India, US), ensuring seamless scheduling and communication
- Organize internal meetings, workshops, and leadership events, including logistics, agenda preparation, and follow-up actions
- Maintain and organize documentation such as SharePoint files, trackers, and team records, ensuring accuracy and accessibility
- Support onboarding and offboarding activities, as well as general team coordination tasks
- Track key activities such as travel plans, leadership visits, and action lists to ensure timely execution
- Provide flexible, ad-hoc administrative support across Finance and wider teams based on business needs
- Assist with administrative processes related to WHT (withholding tax) documentation with guidance as needed
- Support GBSO-related administrative activities during the transition phase, ensuring continuity and smooth handover
- Act as a reliable point of contact for administrative topics within supported teams
What We Are Looking For
- Initial experience in administrative, coordination, or support roles, preferably in a corporate or global environment
- Strong organizational and coordination skills with high attention to detail and accuracy
- Proactive, flexible mindset with the ability to manage changing priorities effectively
- Strong communication skills (written and verbal) with the ability to interact across global stakeholders
- Ability to work in a multicultural, global environment with different time zones
- Solid proficiency in Microsoft Office tools (Outlook, Excel, PowerPoint, Teams)
- Basic understanding of administrative processes such as travel coordination, expense handling, and meeting logistics
- Team-oriented, service-driven attitude with a willingness to support across a wide range of activities
