Administrative Specialist

Location: Tampa, Florida

Compensation for this role will be determined by the candidate’s qualifications, skills, experience, and relevant knowledge.

What you will do:

• Support the smooth day-to-day operations of the Tampa site through effective administrative coordination
• Manage calendars, schedule meetings, and coordinate logistics for internal teams and stakeholders
• Prepare meeting materials, create agendas, and capture and distribute meeting minutes
• Act as a key point of contact by handling incoming calls, visitors, mail, and general site inquiries
• Coordinate visitor access and logistics across multiple site locations, ensuring a seamless experience
• Organize meeting spaces, book rooms, and coordinate basic catering and site events
• Assist with reporting, data entry, and documentation while contributing to continuous improvement and team efficiency

What we are looking for:

• High school diploma or GED required; additional training or experience in administrative support is an advantage

• 3 years of experience in an administrative or office support role
• Strong organizational and time management skills, with the ability to manage multiple priorities
• Excellent communication and customer service skills, with a proactive and professional approach
• Ability to coordinate logistics and support cross-functional teams in a dynamic environment
• High attention to detail and accuracy in documentation, scheduling, and reporting tasks
