We are looking for an Administrative Assistant to join our team based at our headquarters in Basel, Switzerland. The successful candidate has outstanding organizational skills, with attention to details and will perform administration duties to support and drive the Specialized Modalities Platform.
Key Responsibilities
Administration duties to support and drive the Specialized Modalities platform
Support on off-site Teams meetings
Scheduling internal and external calls / meetings and travel dates
Schedule all travel, including flights, hotels, visas and cab transfers using the designated Lonza travel company
Complete expense reports on behalf of respective managers, ensure all reports are submitted and approved in designated timeframes
Meeting coordination support for both internal and external meetings, including room booking, hospitality, agenda and attendance
Raising Purchase Requisitions for the purchase of goods and services, as required and completion and maintenance of spend tracker
Administration and maintenance of SharePoint sites and associated access trackers
Preparation of presentation materials
Run on-boarding for new starters prior to start to ensure a smooth start and that they are set up on all relevant systems
General administration as requested by respective managers, including special projects
Management of Time recording Tool for respective Teams
Establish relationships with internal and external contacts as well within the global Lonza Admin Community
Key Requirements
Experience of working as a PA of senior leadership teams
Experience of working with senior leadership teams
Experienced user of Microsoft Office (Excel, Word, PowerPoint, Access and SharePoint) and SAP Ariba
Good command of English, both written and oral
Capable of coordinating and prioritising heavy and diverse workload with accuracy and minimal direction while meeting critical deadlines
High level of attention to detail
Highly effective teammate with strong interpersonal and administrative technical skills.
Ability to interact with all levels of employees in a courteous, helpful and professional manner.
Flexibility on working hours, willingness to work overtime in outstanding cases
Strong communication and organizational skills, self-starter with can-do demeanour
Willingness to travel within Switzerland on a frequent base as the role will need to be performed from Basel (mainly) & Visp
Cover for team members in the SpM admin team during holiday
absences and work closely with this team to support the SPM team
