This is an office‑first role. Working together in person supports close, real‑time collaboration and team alignment, enabling us to deliver our best work. You will work primarily in the office, with the flexibility to work remotely for 40% of your time (two days per week)
Intro summary of the role
Day-to-Day administrative coordination of Lonza's mobility and relocation programs (Temporary Assignments, International Permanent and US Domestic Transfers, Work from anywhere benefit and Daily Cross Border Commuters). Support projects primarily with a focus on documenting and improving existing administrative processes and relationships with vendors.

What you will do
Your ‘day-to-day’
Support Talent Mobility Team in coordinating international assignments and transfers administrative tasks (tracking, initiations of vendors, follow ups to gather information, coordination with HR services teams)
Lead Lonza Work from Anywhere Benefit administration (review and approval, tracking, reporting and platform maintenance)
Ensure data integrity and clean records in mobility@lonza
Audit and document invoicing processes, support invoices processing
Assist in rolling out of Talent Mobility management platform (IT platform)
Main accountabilities
Initiate external relocation company for relocations and immigration files for specified types of mobility moves, this includes: Check personal details/employee ID on HR digital platform, Check personal details/employee ID on HR digital platform, Initiate onto external relocation company digital platform & File into the Employee folder on the shared drive and mailbox.
Support employees/manager’s work from anywhere benefit, review/approve requests, track, issue certificate of coverage, quarterly reporting and maintenance/optimization of tool
Responsible to conduct monthly invoice review and quarterly audit on Relocation vendor invoices and instruct corrective actions
Check international medical insurance quarterly invoices and send over to external relocation company for payment
Check new members/current members are in the invoice
Check members who ended their assignment are no longer in the invoice to account for adjustments
Check Employee IDs and Cost Centres are correct
Clean and Maintain internal mobility tracker with relevant information for each employee/candidate
Collect International Assignments payroll data for review and processing
Bookkeeping for Tax reconciliations and collection of settlements
Assist in rolling out and coordinating Short Term Business Traveller program
Stakeholder Management
Communication with a range of stakeholders within and outside of Lonza.
Approach mobility coordination as project management by addressing and managing competing stakeholder priorities and deadlines to minimize inefficiencies and maximize collaboration in the team, involving stakeholders at the relevant stages of the process, ensuring quality and timely tasks execution by stakeholders.
Continue to develop existing relationships internally and externally and build on knowledge, processes and overviews to ensure the most effective outcome for Lonza
Analysis and Evaluation
Review and evaluate incidents, requests and suggestions from a range of internal and external sources, apply data to make clear, targeted recommendations for optimizing administrative tasks.
Systems Application
Use Talent Mobility systems relevant to the role appropriately, taking into account their interrelations and interdependencies both with each other and with wider Lonza systems matrix.
Content and Knowledge Sharing
Capture, maintain, use and share knowledge and information on Talent Mobility processes, systems, and stakeholders.
Collaborate to ensure consistent team performance and alignment.
Perform other duties as assigned.
