Senior Administrative Assistant

Location: This position is based in our Walkersville, MD office. The typical work schedule is Monday through Friday, 8:00 AM–5:00 PM EST.

What you will do:

The Senior Administrative Assistant provides comprehensive support to the ADS US Operations Growth Project leadership team and additional ADSLT members in the US, including the Global Head of Sales. This role is essential to maintaining efficient operations, facilitating clear communication, and supporting the successful execution of key initiatives.

Primary responsibilities include managing complex calendars, coordinating domestic and international travel, handling expense reporting, organizing meetings, and preparing reports and presentations. The role also involves supporting special projects from initiation to completion and requires strong technical proficiency, excellent research skills, and the ability to manage multiple priorities. A high level of professionalism, discretion, and sound judgment is critical, particularly when handling confidential and time-sensitive matters under pressure.

  • Completes a broad variety of administrative tasks, which requires extreme confidentiality.

  • Organize events, guest visits and welcome visitors to the site.

  • Arranging complex, detailed travel plans, itineraries, reservations, presentation creation/review, and agendas and compiling documents for meetings.

  • Assisting with pre-, during, and post-meeting action items follow-up.

  • Manages the schedules of Leadership Team and other senior leaders.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature, determining the appropriate course of action or response.

  • Works closely and effectively with the executives, keeping them well informed of upcoming commitments and responsibilities, following up appropriately.

  • Prioritize conflicting needs; handle matters expeditiously, and proactively, and follow through on projects to successful completion, often with deadline pressures.

  • Prepares and supports communications to various stakeholders, including ones that require great confidentiality and sensitivity.

  • Supports expense management and orders supplies and materials as needed.

  • Files and organizes documents in electronic systems.

  • Supports and asks for support from other administrative assistants.

  • Perform other duties as assigned.
