Join our team at our headquarters in Basel, Switzerland, as an Administrative Assistant (12 months fixed term contract). In this role, you will play a vital part in supporting and driving the Integrated Biologics and Marketing Platform forward by providing crucial administrative assistance to the Manager and teams.
Key responsibilities:
Provide comprehensive administrative support to the Commercial Development & Marketing Teams
Manage complex calendars for designated Managers, ensuring efficient scheduling
Support the coordination of on and offsite team meetings
Schedule internal and external calls, meetings, and travel arrangements
Organize all travel logistics, including flights, accommodations, and ground transportation, using our designated travel service
Prepare and submit expense reports accurately and within specified timeframes on behalf of Managers
Coordinate internal and external meetings, including room reservations, catering, agenda preparation, and participant tracking
Initiate Purchase Requisitions for necessary goods and services and maintain accurate spend tracking
Administer and maintain SharePoint sites and associated access permissions
Develop new and update existing administrative work instructions
Assist in the preparation of presentation materials
Coordinate the onboarding process for new team members to ensure a smooth transition and system access
Provide general administrative support as needed by Managers, including involvement in special projects
Manage the Time Recording Tool for relevant teams.
Key requirements:
Proven experience providing administrative support to senior leadership
Familiarity working closely with senior leadership teams
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Access, and SharePoint) and SAP Ariba
Strong written and verbal communication skills in English
Excellent organizational and time management skills, with the ability 1 to prioritize a varied workload accurately and with minimal supervision, while meeting deadlines
Exceptional attention to detail
A collaborative team player with strong interpersonal and administrative skills
Ability to interact respectfully, helpfully, and professionally with individuals at all levels within the organization
Solid communication and organizational abilities
Flexibility to travel occasionally within Switzerland, as the role will primarily be based in Basel with some work required in Visp.
